We are currently looking for candidates for the Senior Controlling and Administration Specialist (m/f/d) position, who would like to join a new office in Warsaw of a large and established international pharmaceutical company.

The Controlling & Administration Senior Specialist supports the Poland branch by performing day to day operational activities across finance, administration and procurement. The role ensures accuracy in financial processes, timely reporting, proper documentation, and compliance with company procedures and local regulations.

This position works closely with the local team and the central Corporate Finance department

Work from the office 5 days a week.


Your duties:

Controlling & Administration (Operational Focus):

  • Book daily accounting transactions for the Polish entity, ensuring adherence to group procedures.
  • Manage accounts payable including booking invoices into ERP system, supplier reconciliation and preparation of payments.
  • Manage receivables, including sales orders, client reconciliation, and ensuring invoices and credit/debit notes are correctly issued and recorded.
  • Prepare and coordinate tax declarations with external advisors, ensuring compliance with local regulations and deadlines.
  • Ensure intercompany transactions, including purchase of goods from HQ, are accurately recorded and periodically reconciled with stock.
  • Manage employee expense reimbursement, including review and payment of expense reports.
  • Maintain the fixed asset register and ensure correct calculation of depreciation and amortization in the ERP system.
  • Manage the drafting of the annual budget and forecasts and provide support to relevant departments.
  • Prepare monthly financial reporting to Corporate (P&L, sales reports, margins)
  • Analyse variances against budget and forecasts, and report key issues to management.
  • Prepare local financial data and provide required information to external accountants and auditors as per local regulations.
  • Partner with the business to develop scenario analyses and evaluate strategic options and their financial impact.

Procurement (Operational Support):

  • Manage supplier registration, documentation, and basic evaluations.
  • Support contract negotiations and ensure that approved purchases are cost-efficient and of high quality
  • Create purchase orders and ensure the correct approval workflow is followed.
  • Ensure compliance with internal procurement procedures and policies.


Requirements:

  • Strong computer skills, including SAP and MS Office (Excel, Power point)
  • 3/5 years of experience in accounting/controlling duties in a major company or division of a large corporation (ideally in a pharmaceuticals sector)
  • University degree in Accounting or Business administration or equivalent business experience
  • Fluent English and Polish
  • Italian would be an extra asset
